Timeline of Case Management Redesign

What we have accomplished so far:

  • NDA signed by executive leaders, Board Members, and other key staff of both organizations (September 2022)
  • Intent to Combine Case Management Operations signed by executive leaders, approved by Boards of Directors (November 2022)
  • Creation of a Joint CMA Subcommittee by both organizations' Board of Directors, assigning current Board members (total of 6) to serve in an advisory capacity to the CEO of Imagine! and the E.D. of ACMI during the development of the response to the RFP proposal and transition to the intended newly combined CMA following the award results of the submission (January 2023)
  • Completion of a culture survey conducted for all case management staff of both ACMI and Imagine! to capture important information each culture considered essential for current staff (January 2023)
  • The executive leaders of Imagine! and ACMI establishes a regular meeting schedule to continue to update and meet goals highlighted on the combined project plan with a timeline. (January 2023 through Present)
  • Submission of the RFP created collaboratively by the E.D. of ACMI and the CEO of Imagine! with assistance from a handful of key staff from both organizations (February 2023)
  • Approval by the Imagine! Board of Directors of a strategic work plan for the continuation of Imagine! as the PASA, reaffirming that direct services will continue but as a standalone agency for the future and assignment of Board members to form a PASA Future subcommittee which serves as an advisory body to the CEO and executive leadership as the development and execution of the plan to create a standalone PASA organization proceeds through 2023 (March 2023)

October 2023

  • Continue communications for internal and external stakeholders.
    Continues until July 2024.
  • Develop process for selecting Board members for PASA and CMA.
    Continues until January 2024.
  • Review of potential new systems (e.g., EHR, Accounting).
    Continues until April 2024.

November 2023

  • Develop organizational and financial structures for PASA and CMA.
    Continues until June 2024.
  • Continue legal work for each separate organization.
    Continues until April 2024.
  • Define process for establishing executive leadership for PASA and CMA.
    Continues until January 2024.
  • Prepare initial documentation for HCPF re CMA ratios, exception policies.
    Continues until February 2024.
  • Conduct existing contract reviews.
    Continues until April 2024.
  • Assess physical space requirements.

  • Transition to Trinet PEO across the organization.

December 2023


  • Continue to integrate case management teams from ACMI and Imagine!’s case management operations.
    Continues until June 2024.
  • Design detailed infrastructure areas.

January 2024

  • Begin implementation of new systems if relevant (e.g., EHR, accounting).
    Continues until June 2024.

February 2024

  • Complete plan for/begin execution of physical moves to Dixon/Coal Creek and related work to physical plants.
    Continues until June 2024.
  • Complete HCPF compliance work to close out current contract; make necessary transfers of contractual designations required (e.g. SS rep payees).
    Continues until May 2024.

March 2024

  • Begin intensive transition work with HCPF for Phase 3 implementation of CMA .
    Continues until June 2024.

April 2024

  • Complete final phase of legal work to separate entities, including registration of new CMA with State of Colorado and changes to definition of Imagine! as direct services only.
